How simple systems can make a big difference
I’m not generally one to evangelise about particular software or products, however I was recently introduced to an online system that has really streamlined my business.
Smartsheets are a fabulous way to track projects, share and collaborate, draw up task lists etc. I’ve started using mine with a couple of clients relating to the task lists and both have commented on how useful it is. I can list all the tasks they give me, at what stage the task is at, how long it’s taken and add documents and discussions to the task, so the client can collaborate and is immediately aware of the situation. It made invoicing this month a breeze too, as I could either download the information straight into Excel or conveniently straight to PDF.
I introduced a client to Smartsheets and have added two simple systems relating to credit control and a simple CRM to his business. It’s easy to share a sheet with anyone as you just add their email and sheets or individual lines can be sent this way. The simple CRM means my client can call someone, note the conversation, add a follow up date (which Smartsheets prompts later on) and if there are any actions he can email me the line to follow up.
I’ve also used Smartsheets to set up a list of Social Media sites that I can add use for clients. I recently used this to send information to a third party web design company on behalf of a client and they sent back favourable comments about the system.
Smartsheets are really simple to use, easy to set up and are free to share (the person you share a sheet too, doesn’t pay a penny). If you want to use them yourself they are reasonably priced and customisable.
As you can see, I’m really sold on this system and have gained a lot of favourable comments from clients and other people about my use of them. Try them out and let me know how you get on, I’d be surprised if you didn’t find 101 uses for them too.

Like you I am a convert to SmartSheet I now use them for a variety of tasks including call logs for clients, work received, what stage of process, when returned and also for invoicing. The main things I find really useful are the fact you can share the sheets with others, email rows and add attachments. Ih has streamlined my working processes.
